My DIY record keeping example

If you're interested in DIY oil changes but are worried about keeping records, here's what i do as an idea. It may be overkill but i like to keep a pictorial and notebook record...

All pics are stored as a created album in my phone. I tag each image with the oil change info. It is already time stamped by the phone. The physical receipts are taped to a notebook with wide packing tape to protect against fade.

I keep mine in my Fuelly account for each vehicle. No papers and easy to go back and see when I last did something.
 
You're more meticulous than I am. I just take the oil receipt, write the mileage on it and stick it in the owner's manual. I take a flap from the oil filter box, write the date and mileage on it and tape it to the driver's side door pillar. What's with the six quarts of oil? My KIA 2.4l only takes 4.9 Qt.
 
I used to be very meticulous like that. Now I just write the mileage and date on the oil jug with a sharpie.

I only had 5qt jugs at the time our neighbor (wife's aunt) was a qt low on her 2003 Odyssey. I cracked open the jug to top it off for her. The extra qt was bought afterwards.

One thing to remember, a lot of receipts will fade over time. I keep a file cabinet in the garage and Walmart receipts fade to white over a couple years.

The only vehicle I maintain that I keep these types of meticulous service records for is my aunt's 2016 Toyota Avalon. I make a photo copy with the printer of the receipts so they won't fade.

But good job! My receipts probably wouldn't fade if I kept them inside though, and not in the hot garage.
 
I have a spreadsheet for all maintenance and receipts get scanned into the computer. Funny thing, when I sold my eleven year old F150, I offered all that type of information to the buyer. He told me he wasn't interested in that type of stuff.

Then I "video tape" the oil change and services on my SLK and my wife's Hyundai. With that 10 year warranty on the Hyundai I like to keep all documentation.

My Constant Blackstone UOAs are my record keeping file. Haha.

The other day I was like, "when did I change the oil?" Opened up the most recent Blackstone PDF and bam!

That is thorough! No one can say it didn't happen.
 
Been doing the photo shoots as far back as cameras have been on phones … back them up on my iPad …
 
I do almost the same thing. My local dealer was very happy to see the motorcraft filter box tops when the short block needed to be replaced on the 5.0. They're a great dealer and would have honored the warranty anyway, but the service writer told me seeing those records made it quicker
